This notice explains what personal data LearnVo collects, why we use it and the choices you have. It covers our website, the demo, the LearnVo platform and our courses.
1. Who we are
LEARNVO LTD ("LearnVo", "we", "us") is a company registered in England and Wales (company number 17538659), registered office Royal Quays Business Centre, Coble Dene, North Shields, NE29 6DE. We're registered with the Information Commissioner's Office (registration number Z1310575).
Contact us about privacy at support@learnvo.co.uk or on 07553 153 268.
2. Our role: controller or processor
- Colleges, training providers and awarding organisations ("centres") decide which of their staff and learners use the LearnVo platform. For that data the centre is the controller and LearnVo is its processor: we only use it on the centre's instructions, under a data processing agreement. If you're a learner at a centre, the centre's own privacy notice also applies, and the centre is usually the best first contact.
- For people who contact us, request a licensing pack, buy a course for themselves, or use the website, LearnVo is the controller.
3. What we collect
| Who | What | Where it comes from |
|---|---|---|
| Website visitors and enquirers | Name, email, phone, organisation, the territory you select, and what you tell us | You, when you email or call us or use a form |
| Centre staff (admins and tutors) | Name, work or personal email, which centre, classes and qualifications you can access, sign-in times | You, your centre, and Microsoft or Google when you sign in |
| Learners at a centre | Name, email, the classes you're in, your answers, marks, attempts and when you submitted them, resources you can see | You, your centre, and Microsoft or Google when you sign in |
| Learners who buy a course | Name, email, your progress, assessment results, certificates and order details | You, and our payment provider when you pay |
| Everyone using the site | Basic technical data such as IP address, browser type and the pages requested, kept in server logs | Your browser |
When you sign in with Microsoft or Google, we receive your name, email address and, for work or school accounts, your organisation's identifier. We never see or store your password. We don't collect special category data (such as health or ethnicity) and ask you not to put it in free-text fields.
4. Why we use it, and our lawful basis
| Purpose | Lawful basis (UK GDPR) |
|---|---|
| Signing you in and keeping your account secure | Contract (to provide the service), and our legitimate interest in keeping LearnVo secure |
| Showing learners their modules and scores, and showing tutors and centre admins their classes' results | As processor: on the centre's instructions. As controller for course buyers: contract |
| AI tutor insights: plain-English notes for tutors on where a class is losing marks | As processor, on the centre's instructions (see section 6) |
| Selling courses, issuing certificates and handling refunds | Contract, and legal obligation for tax and accounting records |
| Replying to enquiries and sending licensing information you asked for | Legitimate interests (responding to business enquiries) |
| Keeping an activity log of changes made in the platform | Legitimate interests (security and accountability) |
| Marketing emails | Only with your consent, which you can withdraw at any time |
5. Children and young people
Many learners on vocational courses are aged 14 to 18. Learners under 18 normally use LearnVo through their centre, which is responsible for any permissions needed. We collect only what's needed to run the course, never use learners' data for marketing or advertising, and never sell it. Courses sold directly to individuals are for people aged 16 and over.
6. AI tutor insights
LearnVo can write short notes for tutors about their class's results, using Anthropic's Claude AI model. Before anything is sent to the AI, learners' names and email addresses are removed and replaced with labels such as "L1". The AI receives only results, question topics and the answers given. LearnVo adds first names back before the tutor sees the note. The notes suggest teaching ideas; they never change a mark and aren't used to make decisions about learners automatically. Centres can ask us to switch AI insights off.
7. Who we share it with
We use trusted service providers ("sub-processors") to run LearnVo. They may only use the data to provide their service to us.
| Provider | What for | Location |
|---|---|---|
| Vercel Inc. | Hosting the website and platform | Global network, USA |
| Neon (Databricks) | Database for the platform | London or EU region |
| Microsoft | Sign in with Microsoft | UK, EU and USA |
| Sign in with Google; web fonts | UK, EU and USA | |
| Anthropic PBC | AI tutor insights (no names or email addresses sent) | USA |
| Resend | Sending insight emails to tutors | USA |
| Porkbun | Our business email | USA |
| Stripe | Taking card payments for courses, when payments are live | UK, EU and USA |
We'll also share data if the law requires it, or with a buyer if LearnVo or its business is sold, under the same protections. Learners' results are shared with their own centre and tutors, and with no one else.
8. International transfers
Some providers above are based in, or may access data from, the USA. Where that happens we rely on the UK–US data bridge, or the UK International Data Transfer Addendum with the provider's standard contractual clauses, so your data keeps an equivalent level of protection.
9. How long we keep it
- Centre data: for as long as the centre's agreement lasts, then deleted within 90 days of it ending unless the centre asks us to return it first. Centres can delete a learner's results at any time.
- Course buyers: account and progress for as long as you have access; order records for 6 years for tax purposes.
- Enquiries: up to 2 years after our last contact.
- Server logs: up to 30 days. Activity log: up to 2 years.
10. Keeping it safe
Data is encrypted in transit and at rest. Sign-in uses Microsoft or Google, so we hold no passwords. Each person sees only what their role allows: learners see their own results, tutors their own classes, and centre admins their own centre. Marks are worked out on our server so they can't be altered in the browser. Access to the platform's administration is limited to named LearnVo directors.
11. Your rights
You have the right to ask for a copy of your data, to have it corrected or deleted, to restrict or object to how we use it, to have it moved to another provider, and to withdraw consent. If you're a learner at a centre, we'll pass your request to your centre, as they control your data. We'll reply within one month. There's normally no charge.
If you're unhappy with how we've handled your data, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
12. Changes
We'll update this notice when how we use data changes, and show the date at the top. If a change affects you significantly, we'll tell you or your centre first.
